Planning international student recruitment can come with a lot of questions — from how to register for a tour to what’s included and how to prepare. At UnivAssist, we believe in making the process as transparent and seamless as possible. Below, we’ve answered some of the most common questions we receive from our university partners to help you plan your recruitment journey with confidence.
1. How do I register for a UnivAssist tour?
Registering for a UnivAssist tour is simple, and you have a few options:
- Through our website: Visit our website, choose the region you’re interested in, and sign up for the relevant tour.
- Planning multiple regions? If you’re looking to participate in more than one region, our outreach team would be happy to walk you through the benefits and options. You can also write to us at info@univassist.com.
- Prefer a paper form? No problem, you can download and submit the registration form here: https://drive.google.com/file/d/1CTxAfsSk94hRxP9Y14MLTQk3C5cuizaB/view
2. What add-ons can I choose from?
We offer optional add-ons to help you get the most out of your tour, depending on your goals and preferences.
Marketing & Data Add-On
This is ideal if you’re looking for greater visibility and post-tour insights.
- Host schools are informed in advance and provided with marketing materials to promote your visit
- Your university profile is included in a student-friendly handout shared during the tour
- You’ll receive a post-tour wrap-up report with school and counselor details
- Compiled student data is shared in an Excel format
- Your institution is included in post-tour email outreach to schools and students met during the tour
Good to know:
- To be included in student marketing materials, we need confirmation at least 45 days before the tour begins
- Participation in the full tour is required for this add-on
- Student handouts are created once a minimum of five universities opt for this add-on
Travel Add-On
Want us to take care of logistics? This add-on covers:
- Airport transfers in the first and last city
- Group transfers within each tour city
- Economy-class inter-city flights during the tour
(Standard baggage allowances apply)
Accommodation Add-On
For a comfortable stay throughout the tour, this add-on includes:
- Single-occupancy hotel rooms
- Breakfast and basic internet
- Accommodation at well-rated, centrally located hotels
3. What’s included if I don’t select any add-ons?
Even without add-ons, you’ll still be part of a well-structured and supported tour. The core package includes:
- A welcome orientation session and dinner at the start of the tour
- Table or booth space at each high school visit
- Local ground transportation for all scheduled school visits
4. I’m joining as a hop-on, can I still choose add-ons?
Hop-on participation doesn’t automatically include add-ons, but you can absolutely customize your experience. Just reach out to our outreach team, and we’ll help you explore what’s possible based on your needs.
5. Where can I see the tour schedule?
Once you’re registered, we’ll share a live itinerary about 50 days before travel. This document includes:
- The day-by-day tour schedule
- A list of schools planned for each city
We also have a UnivAssist mobile app, which makes it easy to explore school profiles and learn more about the regions you’ll be visiting, all in one place.
6. Will I receive student data after the tour?
Yes. If you opt for the Marketing & Data Add-On, we’ll share compiled student data along with counselor contact details after the tour concludes.
7. Can I speak to someone from the UnivAssist team before the tour?
Of course. Supporting our university partners is a big part of what we do. Before the tour:
- Our team stays in touch to ensure you’re fully prepared
- We host a pre-tour orientation call to walk you through the tour format, expectations, and key logistics
8. What can I expect during school visits?
School visits vary by counselor preference but are always designed to be engaging and effective. A typical visit may include:
- University introductions:
A quick 30-second pitch supported by one PowerPoint slide (shared by you) to introduce your institution to the group - Admissions panels:
Interactive discussions with 6–10 university representatives, optional, but a great way to boost student engagement - Presentations or workshops:
Sessions on topics like applications, choosing the right-fit institution, essays, scholarships, financial aid, or emerging career paths - Fair-style interactions:
One-on-one conversations with students at your own table as they rotate through the fair
